Wintergreen Rental Information

Vacation Checklist & Things to Bring
All of our homes are equipped for normal housekeeping. They are furnished to the owner's taste, so please care for these items as if they were your own.

Our homes are ready for you when you arrive, including paper products like paper towels and toilet paper, dishwasher soap, and some cleaning items. This brief checklist is provided in an attempt to assist you with your packing and shopping.

What You Should Know About Our Rentals
Welcome to Wintergreen Vacations' portfolio of the area’s finest vacation homes. We have a home to fit every style, location and budget. You'll find our homes decor, furnishings and equipment reflect the owner's personal tastes. Please enjoy all of the comforts of home while you're away, but we ask you to remember that you are an invited guest and please do not leave any unpleasant memories of your stay for others. Enjoy!

Access to Wintergreen Facilities
Fees paid cover only lodging and promotions, if any offered by the Wintergreen Real Estate Company for the properties it manages. Wintergreen Real Estate Company is not associated with the Wintergreen Resort. Fees for resort activities are separate and the responsibility of the renter.

As a renter, you get the same access the owners do to Wintergreen Resort facilities. This includes use of the Chestnut Springs pool and playground and the pool at Rhodes Farm. You can also use the outdoor tennis courts at Rodes Farm and adjacent to the Chestnut Springs pool. If you rent a Laurelwood unit, you can also use the Laurelwood pool. All other amenities (the Wintergarden SPA, use of the golf courses, skiing, pools not mentioned above, etc.) are extra-cost and the renter's responsibility. These are not included in the rental rates, and our lower rates take this into account.

Rates and Minimums
You can rent a unit for as little as one night* or as long as you want. The longer you stay, the less you pay per night. With our Easy Rates, everything is included. No extra charges for linens or cleaning.

* There is a three-night minimum for holidays. For the 2008-09 season, holidays are the Thanksgiving 2008 (November 27-December 1) weekend, Christmas and New Years Day (December 23-January 1), Martin Luther King's Birthday (January 16-19), President's Day (February 13-16), Memorial Day (May 22-25), and the Fourth of July (July 4), Labor Day (September 4-7), Columbus Day (October 9-12), and the Thanksgiving 2009 (November 26-30) weekend.

Housekeeping
Each home is equipped for housekeeping. Kitchens come stocked with cookware and dinnerware. Beds have mattress pads, bedspreads and pillows. Linens are included with your rental.

Making a Reservation
You can make your reservation online, or by calling 1-800-325-2200 (434-325-7933 in Virginia)..

Reservations
We require a deposit equal to 50% of the stated rent when you reserve your rental. You will receive confirmation of your charges, the amount paid, and the balance due (if any) by email.

Final Balance
The difference between the deposit and the expected rental charges stated in the confirmation package is due 30 days prior to arrival.

Damage Deposit
For those paying by cash or check, we require a damage deposit of one half of one week's rent at time of check-in. A credit card may be used to provide the deposit. Those paying by credit card do so with the understanding that they will be charged for damage and residual charges when they check-out. Credit cards will not be charged unless there are damages or other residual charges at check-out time.

Reporting Damage
The guest must report any loss or damage to the unit or its contents promptly to Wintergreen Real Estate or this damage waiver is void. All damage must be reported. Wintergreen Real Estate will have the sole authority to determine the extent of repairs necessary.

Representatives of Wintergreen Real Estate have ultimate administrative authority. Arbitration is required prior to litigation. The prevailing party in any arbitration of litigation shall be entitled to recovery and/or reimbursement of all fees in connection with same.

Cancellations & Transfers
If you cancel prior to two weeks of your reservation, we will refund your money, less a $25.00 processing fee. If you cancel within the two-week period, we cannot refund your money unless the home or condo is re-rented for the entire cancelled period and for the full rental amount. Cancellation requests must be made in writing or by using the web site. We highly recommend trip cancellation/interruption insurance available from InsureMyTrip by calling (800) 487-4722 .

Check-In / Check-Out
Check in is at 4:00 P. M. at the Wintergreen Real Estate “Discovery Center” Rental Office. Checking in early may be possible. Please let us know if you are coming in town early and we will try to accommodate your schedule. Please understand that ski season and holidays are busy and early check ins are less likely.

If you are arriving after 5:00 P. M. the office will be closed. Please call ahead so we can make arrangements for you to get your check-in packet and key. We strongly recommend that you check in during office hours to avoid any complications. After hour check in packets and keys will be left outside the office in the “after hour drop box” located on the large timber post to the right of the front door. If there is a problem with your property or issues with your checking in call Wintergreen Home Owner Services at 434-325-7711.

Check out time is 11:00 A.M. on your departure date. Your rental must be left in a “broom clean” condition. Please make sure that your rental is tidy when you leave. Feel free to use the owner’s vacuum, brooms and mops to tidy up the rental before you leave. Please wash all dishes and place them in the dishwasher, carry the trash to the dumpster (if you are staying in a condo), return heat/ac to original setting and lock all windows and doors. Return all keys to the rental office upon departure. A fee of $5.00 is due for all lost keys.

Directions

The Wintergreen Real Estate “Discovery Center” rental office is located on Blue Ridge Drive in the upper village of the resort en route to the Devils Knob Golf Course. From the intersection of VA Rt. 151 (Patrick Henry Highway) and VA Rt. 664, turn West onto VA Rt. 664 (Beech Grove Parkway). Drive 4.6 miles to the entrance to the Wintergreen Mountain Resort on your right. Take the right lane past the Gate House. After you pass the Gate House you will proceed about 2.4 miles. You will veer left by the fire station and take another left in front of the Mountain Inn. If you miss the left at the firehouse continue straight past the Mountain Inn and proceed to the upper village. You will see a sign on the right telling you to take a right onto Blue Ridge Drive. The office is located on the left about 50 yards up on Blue Ridge Drive. The Black Bear Café is also located in the same building. You will see a large wooden black bear in front of the office.

Messages, Mail & Phone
Most rental units have their own telephone. We will tell you the telephone number when you arrive.

Pets
In most cases, no pets of any kind are allowed. If pets are allowed, this is noted in the unit description. Renters are responsible for cleaning up after their pets.

Repairs, Bad Weather & Refunds
Wintergreen Real Estate will make every effort to make this your most enjoyable vacation ever. Refunds can not be made due to inclement weather or mechanical failure of equipment. Any necessary repairs will be made as soon as possible. Remember, the earlier you report a problem, the earlier we can make it disappear.
